8 Steps to Plan Your Benefit Concert

The idea of hosting a benefit concert might sound intimidating. It’s helpful to break the process down into manageable steps to help keep your preparations on track.

Here are a few tips to help get you started:

  1. Set a fundraising goal. Your fundraising goal will act as a motivational beacon for your team and supporters to work toward throughout your concert event. Be sure to set a goal that’s ambitious, but still attainable. Review previous fundraising event success to set a relevant, achievable goal.
  2. Select a venue. Your venue should adhere to certain criteria: it should be large enough to hold your anticipated audience, have a rental fee that’s within your budget, and feature necessary accommodations such as a large parking area and adequate restrooms.
  3. Invite performers. Think about your nonprofit’s main audience — what type of performer would they be most interested in? You might choose to invite multiple musicians to perform in a festival format. They can all represent the same genre or a variety of styles to appeal to a wider audience. Also, consider your budget — do you have enough funding to invite a bigger-name musician, or would you be better off choosing a few locally-popular artists?
  4. Choose ticket prices. Your ticket costs represent attendees’ donations to your cause. Determine your ticket prices based on your fundraising goal and what you think your audience will be willing to pay. Consider offering different pricing tiers, such as general admission and VIP tickets. This allows you to offer a more tailored experience for attendees who are willing and able to contribute a little more.
  5. Recruit volunteers. Your benefit concert will rely on the help of trained volunteers to run smoothly. These supporters can help manage everything from checking tickets at the door to first aid support and security. Send out a call for volunteers to your current volunteer or donor pool. Emphasize volunteer benefits, such as free entry to your event, free merchandise, or VIP seating. Make sure to train volunteers properly so they feel comfortable carrying out their roles.
  6. Create a marketing strategy. Once you’ve determined your lineup, venue, and other logistical details, you’ll have to spread awareness of your event. Marketing experts recommend a multichannel strategy that combines elements of online and traditional advertising to get the word out. Create marketing materials for your nonprofit’s website, social media pages, email newsletters, direct mail letters, and flyers. Provide a link or QR code to your event registration page so supporters can easily purchase tickets. Also, connect with local media sources to publicize your event in newspapers, radio broadcasts, and local news broadcasts.
  7. Consider additional fundraising sources. Tickets don’t have to be your only fundraising source during your benefit concert. You can also sell concessions and branded merchandise such as t-shirts and hats. You can also encourage attendees to pull out their phones and donate throughout your event. You can even host a raffle during your concert.
  8. Have fun! Don’t forget to actually enjoy your benefit concert! Know that when event day rolls around, you’ve done everything you can to make the experience engaging, fulfilling, and effective for your fundraising efforts.

5 Things You'll Need to Host a Benefit Concert

Is your organization in the right place to host a benefit concert? Consider whether you already have access to or can acquire the following things that are necessary for proper planning:

  1. A creative spark. To entice supporters to attend your benefit concert, it’s important to get fun and creative with the branding and theme. For example, you can brand your concert as a start-of-summer festival or give it a creative mascot that’s visible on your event t-shirts to generate interest.
  2. Room in your budget. Do you have enough wiggle room in your budget to host a concert event? To make this call, think realistically about your expected ticket sales and overhead costs, such as venue rental fees.
  3. Community connections. Strong community relationships can help make your concert a smashing success. You’ll need the support of dedicated volunteers to help run your event. Plus, you can earn more fundraising revenue by partnering with local businesses and encouraging them to sponsor your event.
  4. Event planning/volunteer management software. These software solutions can be invaluable for keeping your event plans organized, selling tickets, and managing volunteers. Search for platforms that seamlessly integrate with your other software tools, such as your marketing software and donor database.
  5. Marketing tools. Your event marketing strategy will require the support of a variety of marketing platforms, including email marketing tools, social media scheduling platforms, and a graphic design platform.
